Privacy Policy

Buttonwoods Campers Association Effective date: June 29, 2026

‍ ‍The Buttonwoods Campers Association ("BCA," "we," "us," or "our") respects the privacy of our members and visitors. This Privacy Policy explains what information we collect through the Buttonwoods Campers Association website (the "Site"), how we use it, and the choices you have. By using the Site, you agree to the practices described here.

1. Information we collect

Information you provide. When the BCA sets up your member account or when you interact with the Site, we may collect:

  • Your name and household information;

  • Contact details such as email address and phone number;

  • Information that appears in the member directory;

  • Your account login information (such as your email and a password you choose); and

  • Any messages or content you send to us or submit to be posted on the Site.

Newsletter and mailing-list information. If you sign up to receive updates (for example, as a "Friend of Buttonwoods"), we collect the email address and any details you provide so we can send you those communications.

Information collected automatically. When you visit the Site, certain information may be collected automatically by our website host and member-login provider, such as your device and browser type, IP address, pages viewed, and the dates and times of your visits. This may involve cookies or similar technologies (see Section 5).

2. How we use information

We use the information we collect to:

  • Operate, maintain, and improve the Site;

  • Create and manage member accounts and member-only access;

  • Provide the member directory and Association documents to logged-in members;

  • Communicate with you about events, news, and community matters;

  • Send newsletters and updates to people who have asked to receive them;

  • Keep the Site and member areas secure; and

  • Carry out the ordinary activities of the Association.

3. The member directory

The member directory is available only to logged-in members and is intended for personal, community-related use. The information shown in the directory comes from members and the Association's records. As described in our Terms of Use, directory information may not be used for commercial solicitation or shared with anyone outside the BCA community. If you would like to review, update, or limit what appears about you in the directory, contact us using the details in Section 11.

4. How we share information

We do not sell your personal information. We share information only in these limited situations:

  • Within the member community: Directory and member information is visible to logged-in members, as described above.

  • With service providers: We use trusted third-party services to run the Site — including our website host, our member-login and member-management provider, and email and calendar tools. These providers process information on our behalf to provide their services.

  • For legal and safety reasons: We may disclose information if required by law, or if we believe in good faith that doing so is necessary to comply with a legal obligation, enforce our Terms, or protect the rights, property, or safety of the BCA, our members, or others.

5. Cookies and similar technologies

The Site uses cookies and similar technologies, primarily through our website host and member-login provider, to keep you logged in, remember your preferences, support security, and understand how the Site is used. Most browsers let you control or disable cookies through their settings. If you disable cookies, some features of the Site — including member login — may not work properly.

6. Email communications

If you receive newsletters or updates from us, you can opt out at any time by following the unsubscribe instructions in the message or by contacting us. Even if you opt out of general updates, we may still send you messages necessary to operate your member account, such as password-reset or account-related notices.

7. Data security

We take reasonable steps to protect the information we collect, and we rely on the security measures of the third-party services we use. However, no website or online service can be guaranteed to be completely secure. We cannot promise that information will always remain private, and you share information with the Site at your own risk.

8. Data retention

We keep personal information for as long as it is needed to provide the Site and operate the Association — for example, for as long as you are a member or subscribed to our updates — and as needed to meet our legal and recordkeeping obligations. When information is no longer needed, we take reasonable steps to remove or de-identify it.

9. Children's privacy

The Site is intended for adults in the Buttonwoods community and is not directed to children. We do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, please contact us and we will take appropriate steps to remove it.

10. Your choices

You may:

  • Ask to review the personal information we hold about you;

  • Ask us to correct or update inaccurate information;

  • Ask us to remove information about you, where we are able to do so; and

  • Unsubscribe from newsletters and non-essential communications.

To make any of these requests, contact us using the details below. If you live in a place that gives you specific privacy rights, let us know and we will do our best to honor them.

11. Third-party links and services

The Site may link to or rely on third-party websites and services, such as shared calendars or external documents. We are not responsible for the privacy practices of those third parties. We encourage you to review the privacy policies of any third-party service you use.

12. Changes to this Policy

We may update this Privacy Policy from time to time. When we do, we will post the revised version on this page and update the effective date above. Your continued use of the Site after changes are posted means you accept the updated Policy.

13. Contact us

If you have questions or requests about this Privacy Policy or your information, please contact the current BCA Executive Board President.
